Here’s how you can build your QMS in just four easy steps with seal’s free procedure management system:

Step 1: Access and Customise the SOP Template

Navigate to the procedures table via the workspace tab on the left.

Next, open the built-in template via the blue templates button on the top right.

This template is designed to offer a quick start, serving as the foundation for all SOPs in your table.

Begin by editing the template to suit your specific needs:

  • Edit Template Contents: Add headings, text, checkboxes, numbered lists, and more to structure your SOP.
  • Add Record Fields: At seal, we use record fields to capture record data in a structured way that is filterable and searchable. Add inline references to existing record data and capture additional data by adding new record fields directly from the template, which will appear as columns in the table. This allows for comprehensive customisation in one convenient place.

Step 2: Create and Develop Specific SOPs

Once your template is ready, create a new record from it by clicking the ‘New record’ button and selecting your template. Now you can begin writing your SOP with the template as your starting point.

The document outline on the left side of the screen allows you to easily navigate and edit different sections. When satisfied with your SOP, you can either publish it or request a review from another team member.

The activity log, located on the right side of the screen, offers a comprehensive overview of all activities and actions performed on the record. This includes content edits, comments, reviews, version publishing, and completed trainings. Serving as an immutable change log, it guarantees compliance with regulatory standards. Moreover, the activity log can be exported, streamlining the audit process.

Step 3: Train Your Team

After the SOP is approved and published, it's time to ensure your team is up to speed. Request team members to read and train on the new SOP.

You can create a training request for each new version of the SOP, and even edit the request later to add or remove users, send reminder notifications and add a training quiz!

Track your team’s training progress directly from the table, ensuring everyone is compliant and knowledgeable.

Step 4: Manage SOPs with custom table views

To streamline the management of your SOPs, create custom table views. For example, you can filter the table by the department property to view only SOPs relevant to the QA department.

Additionally, filter by the ‘Status’ property to see only those currently under review.
